Job Description
Purpose of the Role: The incumbent will be a Primary Content Legal Editor in the Editorial Department (Primary Content). S/he will assist the Managing Editor in the Department with editorial and administrative functions and will generally assist in ensuring the smooth and efficient running of the Department. Key Accountabilities: Publishing- Update online and print products, ensuring that editorial work is of the highest standard, so that demonstrably superior products are delivered online, and ensuring that turnaround times are met (24 hours);
- Responsible for the monitoring, tracking, and updating of relevant publications, content files, and database(s) – with special focus on database management;
- Co-ordinate tasks and manage the capacity, efficiency and turnaround times within the team;
- Edit and check pages of the Department’s publications, ensuring that editorial work is of the highest standard, so that demonstrably superior products are delivered;
- Assume editorial responsibility for such publications as may be designated by the Managing Editor;
- Proofread new and amending content, where necessary;
- Liaise with Support individuals (Editorial) (print and online) to ensure service issues, handbooks and new publications are prepared and completed timeously;
- Liaise with Support individuals (Electronic Publishing) to ensure online products, including online corrections and editorial corrections, are updated within 24 hours;
- Compile control sheets and subscriber notices for service issues;
- Compile indices and contents pages for all publications;
- Correction to the relevant databases for online and print products;
- Respond to editorial queries, both internal and external, arising from or relating to the Department’s publications (online and print);
- Attend WIP meetings;
- At the Manager’s request, assist from time to time with work stemming from other divisions within the editorial team;
- Liaise directly with vendors and contract workers when required in terms of a project plan;
- Ensure that vendors and contract workers submit invoices with their completed work;
- Ensure that editorial work performed by internal and external editors complies with approved in-house styles and is completed within time limits and budgeted costs as set out in project plan;
- Regularly assess whether the department’s products meet customers’ needs;
- Initiate projects directed at the development and improvement of the department’s products;
- Participate in continuous improvement and other enhancement projects;
- Suggest ways of improving publications that fall under your responsibility.
- Participate in the budgetary process including reforecasts;
- Ensure that budgeted targets remain within overhead budgets (all inclusive);
- Ensure that project costs remain within budget.
- Ensure that publications prepared in the Department follow appropriate QC processes, monitor and manage overall quality within the team;
- Ensure that all external contractors and contributors are paid on time;
- Ensure that dye-lines for all publications are checked, approved and returned to the Production Department in line with agreed SLAs;
- Ensure that all service issues are filed in line with agreed SLAs;
- Ensure that the assigned Managing Editor is notified of any changes to the content of publications (e.g. addition or removal of content);
- Keep contractors’ schedule up to date re hours and page count;
- Update the WIP as and when new content is passed and received.
- Training and upskilling of POI’s, contractors and Editorial staff
- LLB or equivalent qualification
- Excellent command of English
- Fluency in Afrikaans an advantage
- Excellent PC skills (especially MS Word and Excel)
- Knowledge of Sharepoint will be an advantage
- Excellent eye for detail
- Good telephone manner
- Ability to plan and organise meticulously
- Ability to work as part of a team
- Ability to use own initiative
- Good communication/interpersonal skills
- Ability to work under pressure and meet deadlines
- Ability to run product end to end independently
- Willingness to travel
