QUALIFICATION & EXPERIENCE:

Minimum Education/Qualification:

  • Senior certificate/grade 12;

Experience:

  • 2 years’ relevant administration or financial experience.
  • Relevant degree will count in your favour.

Key Performance/ Success Indicators

New Seasonal workers:

  • Loading of new workers’ profiles (personal details) on the Donkerhoek data system.
  • Issuance of new employee contracts. Make sure they understand this before they sign.
  • To sort out all issues around Seasonal as well as Permanent employees (staff-related enquiries, complaints, etc.)
  • Assist seasonal workers to apply for bank accounts at Grobank if they do not have a bank account.
  • Processing of bi-weekly wages.
  • Check that clock system data is entered correctly for payroll purposes.

Permanent Appointments:

  • Pipeline planning: Identifying staff to join the team permanently.
  • Issuance of new employee contracts. Make sure they understand this before they sign.
  • Forward two weekly wages to Head Office for processing as well as checking them.
  • General leave and sick leave checking as well as their approval.

Disciplinary actions:

  • Addressing employees who do not comply with the rules, issuing necessary forms and organizing disciplinary hearings in collaboration with our Labour Consultant.

Visitors:

  • Hospitality reception of visitors. Ensure that they complete the sign-in register, and then inform the Farm manager.

General:

  • Audits: Ensure that the audit standards are maintained at all times.
  • Ensure that the training and scale calibrations are done.
  • Arrange the removal of poison cans, etc.
  • Ensure that all administration around the audit is continuously up to date and correct.
  • Ensure that the most relevant billboards, safety signs, information boards, etc. are ordered and visible in common areas. Ensure that the site is tidy at all times, e.g. toilets, and dining room. Ensure that the site is always ready for unexpected visitors.
  • Work directly with the audit consultant to do finishing work before an audit.
  • Purchases: Cleaning agents, first aid, clothing, harvesting equipment (checked on a weekly basis).
  • Checking checklists – toilet cleaning, hygiene lists, diesel consumption etc.
  • Annual Carbon Footprint: keeping Chemical and Fertilizer records, Electric power consumption, and diesel consumption - these are submitted electronically every year.
  • United Exports records that are forwarded on a regular basis: Chemical and fertilizer application - must take out the active ingredients and work out quantities and forward them.
  • Preparation of block and plant census to be sent on an annual basis.
  • Office Admin: Checking all incoming invoices, making sure they match the order numbers and are allocated correctly. Sending invoices to Director for approval, and tracking payments.
  • Arrange for servicing of vehicles and when they have to go through the road skills test.
  • Arrange doctor's appointments for an employee who sustains a work injury.
  • Drafting and completion of Skills Plan (ATR & WSP) for annual submission in April as well as maintaining supporting documentation for the report.
  • Keeping general harvest reports.
  • Adhoc tasks as requested by Farm Manager.
